What they were doing

Job sheets lived on a whiteboard in the workshop and on paper in the engineer's van. Nobody could say what had been done to a given boat last winter, invoices were rebuilt from memory at the end of the month, and the office spent its mornings phoning four or five freelancers for the same information.

What we set up

A simple internal system on phones: jobs assigned, parts used, photographs attached, time logged, signature captured on completion. It captures everything offline and syncs when an engineer gets back to a signal, which happens often on a boat at anchor. The office sees the same record the engineer sees, in their own language.

What changed

Invoicing stopped depending on anybody's memory, and the office stopped phoning engineers to ask what had happened. The record of work on a given boat is now a question with an answer.

Worth knowing: Rollout took longer than planned, because half the engineers are freelancers who'd been paid in cash and had no particular interest in a system. We piloted with two people for six weeks before persuading the rest; the alternative was building something nobody opened.

Where AI fits in custom software

Working alongside a system rather than standing in for one: condensing a long maintenance history so somebody doesn't have to read four years of it, drafting a reply to a request, or surfacing the handful of rows out of a lot of data that a person needs in order to decide. We'd be genuinely wary of AI taking decisions on its own inside a system that touches customers or money.

Build, buy, or leave it alone

No code gets written until we've checked whether the problem already has a good answer somewhere. Ready-made software is often the right call and costs a fraction of a build from scratch. We'd rather point you at a twenty-euro-a-month tool that genuinely does the job than sell you a build you don't need, and we'll say so in the first meeting rather than the fourth.

Built around your people, not the manual

Anything that enforces the official procedure ends up worse than the sheet it replaced, because now there's a login to get through before anything happens. We design around how the team already works, and where that means changing the software rather than the people, that's usually the better trade.

One place to look, not four logins

A new system usually exists to stop retyping between systems. We hook it into what you already run — invoicing, calendars, email, WhatsApp, your website — so information goes in once. A tool that adds a fourth place to check isn't saving anyone's time; it's moving the problem somewhere quieter.

Two languages from the start, not bolted on

Almost every business we build for here has staff who work in Spanish and owners or customers who read in English, sometimes a German-speaking front desk in high season. If the tool only speaks one of them, half the business quietly stops using it. We settle that in the first fortnight. Retrofitting a language onto a finished system costs considerably more than including it in the design.

Data protection is part of the design

Systems holding guest details, medical information or staff records have obligations well beyond a login screen: who can see what, how long you keep it, and what the person it belongs to is told. With the GDPR and Spanish data protection rules both in play, that has to be designed in rather than reviewed afterwards.

The system belongs to you, with documentation and a sensible setup, rather than something that only runs while we're in the room. If we ever stop trading, it keeps working and another developer can take it on.

What will a custom application cost me?
It depends on scope, and a range quoted before we've understood the problem is a guess dressed up as a quote. Tell us what you're trying to stop doing by hand and you'll get a written estimate against that one job.
Wouldn't off-the-shelf software do the same job?
Often, yes, and we'll say so where it can — including recommending the cheaper route. A twenty-euro-a-month tool that solves the real problem beats an expensive build every time, and finding that out early is the whole value of the first conversation.
How long before we can use it?
A focused internal tool is often a matter of weeks. Anything touching customers, payments or several existing systems takes considerably longer. Milestones get agreed in writing, so you always know where a project has got to.
Will our team manage it on a phone?
Yes — properly, rather than as a desktop system squeezed onto a small screen. If your people are out on the road, at a villa or on a boat, that's the environment it's designed for.
What happens when the requirements change?
Small changes are straightforward and covered for the first year. Anything larger gets discussed and priced before a line is written. The structure is designed so features can be added rather than the original being taken apart.
